Front Desk & Service Coordinator (all genders)

unlimited – full time – 40 hour-contract

Front Desk and Office Organization:

• Be the first point of contact in our brand-new office entrance at “HanSafran," creating a welcoming atmosphere for our visitors, business partners and employees.
• Keep communication flowing by managing and directing calls, emails and correspondence with ease and professionalism.
• Bring people together by coordinating and organizing meetings and events.
• Prepare and maintain our meeting rooms to ensure everything runs smoothly and professionally.

Workflow & Support Management:

• Handle travel expense reports and support fleet management with an eye for details.
• Provide reliable administrative support in all Health, Safety & Environment (HSE) matters, helping to keep our workplace safe and compliant.
• Manage visitor access controls & ID distributions, using security systems to ensure a safe and secure operating office.
• Be a support in the facility supplier's coordination and monitoring.

Material Management and Purchasing:

• Manage office supplies and support purchasing and supplier management to simplify daily operations.

Your skills & qualifications:

• Having completed a commercial training or an equivalent qualification, you ideally bring some hands-on experience from a similar role.
• Switching between German and English, written or spoken, you've got it covered.
• You are confident working with Office 365 and ideally experienced with SAP/ ERP systems.
• Driven by a service-oriented mindset, you like to find practical solutions and keep things running in an organized, structured way.
• First experiences in procurement, security, facility and safety processes add valuable expertise.
